Our Privacy Policy

The privacy and security of your personal information is extremely important to us. This privacy policy explains how and why we use your personal data, to make sure you stay informed and can be confident about giving us your information.

  1. Information you provide

In order to use some of the services provided on our website you may be asked to submit personal information about yourself (such as your name, address, email address etc). Such services include requesting a holiday cottage brochure and reserving / booking your holiday cottage.

In terms of our owners, we will retain the same information in order to stay in contact with you regarding the management of your property.  We will also save your bank details in order make regular monthly payments – see Payment Security.

We believe that the following lawful processing grounds apply to the personal information that we collect from our visitors and owners:

  • necessary for the purposes of entering into and performing a contract;
  • necessary for the purposes of complying with our legal obligations; and
  • because it is in our legitimate interests to do so (chiefly in order to ensure that we provide you with an efficient and effective service).
  1. Information we collect

Wheelwrights Cottages record data on user behaviour so that we can maintain, protect and enhance our website and monitor the effectiveness of our advertising campaigns. We use Google Analytics to analyse some aspects of our website and in doing this we share certain non-personal usage data with Google. This shared usage data does not identify you individually and is maintained in accordance with the Google Privacy Policy.

  1. Payment security

We will provide an online booking service that allows you to pay for your holiday cottage by submitting your credit or debit card details. We are compliant with the Payment Card Industry Data Security Standard (PCI DSS), a set of comprehensive requirements for enhancing payment account data security. This facility is provided through Worldpay

This facility uses a secure online payment gateway fully managed by Worldpay and no card details are retained by us.

We also take payments over the phone using a secure terminal.  We do not keep your card details once the payment has been confirmed, and we destroy the card holder receipt, retaining only the personal details to secure your booking, and the card transaction reference.

  1. Logged information

When you request any page on the Wheelwrights Cottages website you send certain information in accordance with the Hypertext Transfer Protocol (HTTP) to our Web server. This data includes the unique IP Address allotted to your computer and the nature of the data requested. Wheelwrights Cottages retain this data in log files and use it to study the performance of our website and aggregated user behaviour. We do not routinely use the IP Address for any purpose but we retain the right to do so in identifying the origin of any unusual activity on our website.

  1. Managing cookies

During the course of any visit to the Wheelwrights Cottages website one or more small files (called cookies) may be downloaded to your computer that can be used to identify your browser between visits and record how you first arrived at our site. Should you choose to create a shortlist of holiday cottages, a cookie is used to remember this list for future visits.

Most browsers provide the facility to view and delete cookies. You can also elect to be warned when a cookie is being created and even decline to accept cookies altogether.

  1. Use and storage of personal information

When you supply any personal information to Wheelwrights Cottages we have legal obligations towards you in the way we deal with that data. We must collect the information fairly, that is, we must explain how we will use it and tell you if we want to pass it on to anyone else.

Information you provide to us will only be made available to those involved in supplying your holiday. This includes our Booking Office staff, and the Owner or Housekeeper of your chosen property. We will never supply your information to anyone else without first obtaining your consent, unless we are obliged by law to disclose it.

We will only use and store your information for as long as it is required for the purposes it was collected for. How long it will be stored for depends on the information in question, what it is being used for and, sometimes, statutory legal requirements.. We usually delete all data on you if our annual brochure is returned by the Royal Mail and we will do so at your request provided that there is no outstanding action on any holiday cottage booking (note that we may continue to process your personal data for non-marketing related reasons if additional lawful processing grounds continue to apply). We will ensure that all personal information supplied is held securely, in accordance with the General data Protection Regulation and any associated UK data protection provisions. Access to your data is restricted to Wheelwrights Cottages authorised personnel and our servers are housed in a secure environment. Our internal computer network is protected by a firewall and backups are also stored securely.

  1. Your rights

You have the right to request a copy of the personal information that Wheelwrights Cottages holds about you and to have any inaccuracies corrected. Additionally, when practically possible, once we are informed that any personal data processed by us is no longer accurate, we will make corrections based on any updated information that you provide to us.

  1. Users under 18 years of age

Users under the age of 18 are not permitted to rent a holiday cottage and personal details cannot be provided for this purpose. Any user under 18 years of age requesting a brochure must have their parents’/guardians’ consent to use the Wheelwrights Cottages website. Users without this consent are not allowed to provide us with personal information.

  1. Links to other websites

This site may contain links to other websites. Wheelwrights Cottages is not responsible for the privacy practices or content of such websites. To ensure protection of your privacy, always review the privacy policy of the sites you visit by linking from our website.

  1. Notification of changes

This Privacy Policy Statement may be revised over time as new features are added to www.wheelwrights.com or as internet security and privacy standards evolve. We will post notification of any changes prominently.

  1. Acceptance of these terms

By using this site, you signify your acceptance of the terms of the Wheelwrights Cottages Privacy Policy Statement.
